Lease Renewal Strategy for Apartments: Renewal Increases vs Turnover Cost
On this page
A lease renewal strategy decides what rent increase to offer each resident whose lease is ending. The trade-off is simple: a larger increase raises rent if the resident stays, but makes a move-out more likely, and every move-out costs lost rent while the unit is empty, turn costs to make it ready and leasing costs to fill it. In the example below, renewing a resident at a 3% increase earns about $2,780 more over the next year than letting them leave and leasing the unit at 6% above their current rent. Set renewal offers from that math, unit by unit, and track the renewal rate and rent trade-out every month.
This post is part of our guide to real estate syndication. It shows the renewal math and how sponsors and property managers set renewal offers. Practices are as of November 2026 and the example is illustrative.
A worked example
A resident pays $1,400 a month. Market rent for the unit is 6% higher, $1,484. If the resident leaves, the unit sits empty one month, costs $1,500 to turn and $300 to lease. The figures are an example.
| Choice | Rent for the next 12 months | Costs | Net for the year |
|---|---|---|---|
| Renew at +3% ($1,442) | $17,304 | $0 | $17,304 |
| Lease to a new resident at $1,484 | $16,324 (11 months) | $1,800 | $14,524 |
| Difference | $2,780 in favor of renewing |
To beat the renewal in that first year, the new lease would need about $1,737 a month, 24% above the current rent. The new lease's higher rent carries into later years, so the gap narrows over time, but a lost resident also risks a longer vacancy than planned. See turnover cost.
How to set renewal offers
- Start from market rent for the unit, using current leasing and comparable buildings. See rent comps and loss to lease.
- Look at the gap. A resident far below market may accept a larger step; a resident at market may need a small one.
- Consider the resident. Payment history and length of stay.
- Consider the unit. A unit you plan to renovate may be worth turning; an unrenovated unit you plan to keep may be worth renewing.
- Check local rules. Rent increase limits, notice periods and required forms vary by state and city. See rent control laws.
- Offer choices where allowed, such as a lower increase for a longer lease.
When does a move-out make sense?
In a value-add plan, a move-out is how unrenovated units get renovated, so a higher renewal increase on those units may be part of the plan. The same math applies, with the renovation premium added to the new lease rent. See renovation pace and lease-up.
What to track
| KPI | Why |
|---|---|
| Renewal rate | Share of expiring leases that renew |
| Renewal trade-out | Average increase on renewals |
| New lease trade-out | Average change on new leases |
| Notices to vacate | Early warning of move-outs |
How DoorRaise fits in
DoorRaise helps sponsors raise equity for apartment buildings with 5 or more units from their friends and followers, and runs the investor side after closing: quarterly distributions from the deal's bank account, investor updates and K-1 delivery. The deal's accountant prepares the K-1s; DoorRaise delivers them. DoorRaise also forms the deal's LLC, prepares the offering documents, files Form D and verifies every investor's accreditation, in 506(b) and 506(c) deals. Investors fund by wire into escrow at Enterprise Bank & Trust. For the books, sponsors can add the optional Property Books & Taxes service: one monthly price for the deal, from $250 a month, for full-charge bookkeeping (1099s and prior-year cleanup are not included, and any extra work is quoted first and done only after the sponsor approves it). DoorRaise charges two flat fees: $1,500 to set up (non-refundable) and $5,000 a year for administration, the first year paid at closing from the money raised and only if the deal closes.
When your plan is ready, start your deal.
FAQ
How much should I raise rent on a lease renewal?
Enough to move toward market rent without causing a move-out that costs more than the increase gains. Compare a year of renewal rent with a year of new lease rent minus vacancy, turn and leasing costs, and follow local rent rules.
Is it better to renew a tenant or find a new one?
Usually renewing, unless the new lease rent is much higher or the unit is due for a renovation, because a move-out costs lost rent, turn costs and leasing costs.
When should renewal offers go out?
Often 60 to 90 days before the lease ends, and always within the notice periods state and local law require.
What is a good renewal rate for apartments?
It depends on the market, the building and the plan. Track it against your own budget and history rather than a single benchmark.
What is renewal trade-out?
The average change between the expiring rent and the renewal rent on renewed leases.
